Running Stock Across More Than One Warehouse

When a second warehouse makes sense, how to split stock between them, which one should ship each order, and how to move stock between them without losing count.

Give each warehouse its own count and bin locations, ship each order from the warehouse that has the stock and is nearest the buyer, and move stock between them as a transfer, so it leaves one count when it is sent and joins the other when it arrives.

When a second warehouse makes sense

A second warehouse pays for itself when shipping costs and delivery times to far-away buyers are hurting sales, or when the first space is full. It also doubles the places stock can be wrong, so set up the habits before the second door opens.

Keep one count per warehouse

Each warehouse needs its own stock count and its own bin addresses. The total across all warehouses is what channels can sell, but pickers need to know which building, and which shelf in it, holds the unit.

Decide which warehouse ships each order

Write the rule down so it isn't decided by whoever answers the phone. A simple rule works for most sellers:

  • Ship from the warehouse nearest the buyer that has every item in the order.
  • If none has every item, ship from the one with the most, and send the rest as a second parcel only if the buyer agreed to split delivery.
  • Keep fast sellers in both warehouses; keep slow sellers in one.

Move stock as a transfer

Stock moving between warehouses is in neither. Record it as a transfer: it leaves the sending warehouse's count when it is dispatched and joins the receiving one only when it is signed for. If 50 are sent and 48 arrive, the 2 missing units show up on the transfer, not as a mystery at the next count.

Keep batch and expiry details on the transfer, so the receiving warehouse still sends the oldest stock out first.

How Kownt X helps

Kownt X runs any number of warehouses, each with its own address, zones, racks and shelves. Transfers between them keep batch and expiry intact, and every channel sells from the total across all of them.
